Privacy Summary
At USA Scheduler protecting student and educator data is fundamental to our work. Our cloud-based master scheduling platform is built exclusively for schools and districts, and we collect only the information necessary to create and manage school schedules.
What We Collect and Why
Schools provide us with limited information needed to build master schedules. This typically includes student names, teacher and staff names, course requests, course details, and scheduling data. We also collect basic account information such as usernames and encrypted passwords so authorized school staff can securely access the platform.
We do not collect Social Security numbers, financial information, advertising identifiers, behavioral tracking data, or biometric information. We never sell or rent personal information.
We use the information provided by schools solely to generate schedules, provide secure access to the platform, maintain system performance, and support our customers.
FERPA and COPPA Compliance
We operate as a “School Official” under the Family Educational Rights and Privacy Act (FERPA). Student education records remain under the ownership and control of the Educational Institution. We use student data only for authorized educational purposes and do not redisclose it except as directed by the school or as required by law. Parents and eligible students seeking access to records should contact their school directly.
Our services are used by schools for educational purposes and comply with the Children’s Online Privacy Protection Act (COPPA). Schools provide consent on behalf of parents, and we collect only the minimum information necessary to provide our services. Student information is never used for advertising or commercial profiling.
Data Security
We apply reasonable administrative, technical, and physical safeguards to protect personal information. Data is encrypted in transit, passwords are encrypted or hashed, and access is limited through role based permissions. Our platform is hosted in a secure cloud environment with system monitoring and restricted employee access.
We retain information only as long as necessary to fulfill our contractual obligations. When services end, data is returned or securely deleted in accordance with our agreement with the district.

District and School leaders and procurement teams choose us because data protection is built into our service model. We practice data minimization—collecting only what is necessary for scheduling—and we contractually commit to FERPA compliance and adherence to applicable state student data privacy laws. We are willing to enter into Student Data Privacy Agreements (SDPAs) and provide clear documentation regarding our security practices and data handling procedures.
Our platform is designed solely to support educational operations. We do not monetize student data, engage in targeted advertising, or use information beyond the scope of the district’s authorization.
